Step by step guide to creating a new move request

 

Create new request

To create a new move request, select “+” at the top right corner:

A page with five steps will open to guide you through creating a move request:

  1. Vehicles
  1. Equipment
  1. Pickup
  1. Delivery
  1. Final Details

Vehicles

Add vehicles to your move request. You can do this in two ways:

a) Use “VIN dump” to add multiple vehicles at once, or

b) Use “Add vehicle” to add vehicles one by one

 

a) Add vehicles using “VIN dump

  • Select “Vin dump”

  • Paste VINs in modal window and select “Calculate”.

Vehicle information will be pulled from NHTSA database.

💡

Note: Some information, such as vehicle color or license plate number, may need to be entered manually.

 

To add missing or important vehicle information, select “ Edit”

b) Add vehicles using “Add vehicle

 
  • Select “Add vehicle

  • Enter all vehicle information and select "Add Vehicle."

💡

Note: Entering the full VIN will automatically populate the year, make, and model fields.

Edit or delete any vehicles if necessary.

After entering all the information, select "Next step" to continue.


Equipment

Select the appropriate equipment type.

Once you've selected the equipment, select "Next step" to continue.

Pickup information

Pickup has 3 sections:

a) Location

b) Contacts

c) Date

 

a) Location: Choose a pre-saved pickup location or add a new location:

b) Contacts:

Select a saved contact for the chosen location, or add a new contact:

c) Date:

Select date and time range:

Select “Firm time for pickup” if the vehicle must be picked up on a specific date and time

After entering all the information, select "Next step" to continue.


Delivery

Follow the same instructions that you used for Pickup


 

Final Details

Final Details page has 8 sections:

  1. Manage Selection
      • Self managed → Choose this if you or your team will handle the request directly.
      • Managed by EVO → Select this if EVO will handle the process for you.
  1. Event Name or Reference
      • Enter a clear, unique name for the request (e.g., “Auction - March 2025,” or “Fleet Move #42”).

      This helps identify and search for the request later.

  1. Budget Reference
      • Click the dropdown to select a budget tied to this request.

      If no budget is available, contact your Super Admin to have a budget assigned to you.

  1. Tier Level
      • This sets the access level for carriers.

      Example: Tier 3 means that only carriers in Tier 3 or higher can place a bid for this move.

  1. Important Notes About Request
      • Use this box to include details carriers should see when placing a bid.
  1. Internal Notes (Not Visible to Carriers)
      • Add internal-only information for your team or EVO staff.
  1. PO Number / RO Number (Optional)
      • PO Number: Purchase order reference
      • RO Number: Release Order number or internal reference number
  1. Copy to contacts
      • Click “Add contact” to include people who should receive copies or notifications of this request.
 

Make sure all information is correct and select “Finish

Select “Yes, put for bidding” to publish the request or “No, I will do it later” to save draft

That’s it! Your move request is ready, and carriers can now start bidding.
